What You’ll Do
As Personal Assistant to the Regional Director, you will be the linchpin of our Highveld office. Key responsibilities include
· Comprehensive Diary Management
• Coordinate and prioritise the Director’s daily schedule, juggling internal meetings, stakeholder calls and site visits.
• Anticipate conflicts and propose solutions to optimise productivity. Personal Assistant.
· Meeting Planning & Follow‑Up
• Draft and distribute meeting invitations, agendas and briefs.
• Arrange travel logistics (transport, accommodation, visas where needed) and catering.
• Attend meetings to type and review accurate minutes, then disseminate action items and documentation to the relevant teams.
• Maintain a secure archive of Regional Executive Committee resolutions and confidential files.
· Document & Records Control
• Establish and oversee an organised digital filing system for all high‑level correspondence, reports and board papers.
• Ensure version control, archiving protocols and easy retrieval. Personal Assistant.
· Gatekeeping & Communications
• Serve as the first point of contact for calls, emails and visitors to the Director’s office.
• Triage inquiries, redirecting or responding with professionalism and discretion.
• Track incoming requests to ensure all tasks are completed in a timely manner. Personal Assistant.
· Event Support & Member Engagement
• Assist with the planning and execution of workshops, conferences and training sessions.
• Create and circulate booking forms, course outlines and invitations to our membership base.
· Ad‑Hoc Projects
• Be ready to lend your talents wherever they’re needed—whether it’s updating the website, preparing presentations or supporting special initiatives.
Who You Are
We’re looking for someone who:
· Education & Experience
• Holds a National Senior Certificate (Matric) or equivalent qualification.
• Has a minimum of 2 years’ Personal Assistant, secretarial or executive support experience.
· Communication Skills
• Writes and speaks eloquently in English; Afrikaans proficiency is an asset.
• Is confident crafting emails, memos and minutes with clarity and professionalism.
· Technical Prowess
• Is highly proficient in Google Workspace (Docs, Sheets, Meet) and Microsoft Office (Word, Excel, Outlook).
• Adapts quickly to new platforms and association‑specific software.
· Personal Attributes
• Demonstrates a positive, can‑do attitude and the self‑assurance to make decisions when needed.
• Possesses an appetite for continuous learning and process improvement.
• Maintains a high level of discretion—handling sensitive information with the utmost confidentiality.
